Position Summary

The Virtual Legal Assistant provides remote administrative, research, and document support to attorneys and legal teams. This role combines traditional legal assistant duties with the flexibility and efficiency of a remote work setup, ensuring smooth day-to-day operations and timely delivery of legal services.

Key Responsibilities

  1. Administrative Support
  • Manage attorneys’ calendars, schedule meetings, and coordinate virtual hearings.
  • Handle phone calls, emails, and client communications in a professional manner.
  • Organize and maintain digital case files and document management systems.
  1. Document Preparation & Management
  • Draft, format, and proofread legal documents (contracts, pleadings, discovery requests, correspondence).
  • Assist with e-filing in state, federal, and specialized courts.
  • Maintain accurate client records and billing logs.
  1. Legal Research & Case Support
  • Conduct basic legal research using online databases (e.g., Westlaw, LexisNexis, government websites).
  • Summarize statutes, case law, and relevant legal developments for attorney review.
  • Prepare case summaries, timelines, and evidence lists.
  1. Client Interaction
  • Schedule client consultations and send reminders.
  • Prepare client intake forms and manage onboarding documentation.
  • Follow up with clients for outstanding information or signatures.
  1. Technology & Virtual Tools
  • Operate virtual collaboration tools (Zoom, Microsoft Teams, Slack).
  • Use cloud-based legal software for case management, billing, and document storage.
  • Ensure all work complies with data security and confidentiality protocols.

Required Qualifications

  • Paralegal Certificate, Legal Assistant Diploma, or equivalent experience in a legal setting.
  • Minimum 1–3 years of legal administrative support experience.
  • Proficiency with Microsoft Office Suite, Google Workspace, and legal practice management software (e.g., Clio, MyCase, PracticePanther).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to work independently.

Preferred Skills

  • Experience in a specific area of law (e.g., family law, corporate, intellectual property, immigration).
  • Familiarity with e-discovery and virtual trial preparation.
  • Knowledge of billing systems and timekeeping software.
  • Bilingual or multilingual capabilities.
